Process description for printing dissertations

1.

Send the following information to both these e-mail addresses:

anette.pettersson@bth.se

peter.linde@bth.se

This information is needed for the printing of the cover and the fly leaves (i.e. the first two leaves), and should be provided to the library at least 4 weeks prior to the final printing of the thesis:

  • Time when the thesis should be delivered
  • Type of thesis (Licentiate or Doctoral)
  • Title (with subtitle where applicable)
  • Name
  • School (department is not to be put on the cover)
  • Department (applies to School of Engineering - if you wish to put it on the fly leaves)
  • Approximate number of pages of the thesis (this information is important since the printing office needs to know the thickness of the thesis in order to produce the cover)
  • Colour pages - how many?
  • Number of copies you want to print (library copies and pliktexemplar not included)
  • Abstract (MAX 460 words, the length is dictated by the layout on the back cover)
  • If additional logotypes are needed (for back) make sure that they are supplied in the format of the template - contact the printing office for additional information
  • Cost centre (kostnadsställe). Number for the organizational unit (organisatorisk enhet) that will pay for the dissertation

Administration homepage

Use link "Organisatoriska enheter", then document "Org enheter 2009 (pdf)" to find a list of organizational unit numbers.

2.

Library personnel checks the information received and gives a serial number and ISBN for the thesis. Checking of the information includes:

- check spelling of the information
- control the length of abstract
- correctness of information from point 1

3.

Library personnel submits the information (from point 1 and point 2) to the printing office (a copy of the e-mail is sent to the PhD student).

4.

When the printing office has received the information they prepare:

- a PDF version of the cover

The printing office sends these documents to the PhD student (and a copy of the e-mail to the library personnel) for approval.

5.

The PhD student sends an OK mail to the printers when the cover is approved.

6.

The PhD student sends the content of the thesis in PDF to the printers at least 3 weeks prior to the final printing.

7.

The printers send a proof-read version to the PhD student. The cover of the thesis is not the final version due to the printing process, which does not allow printing a single copy of the cover. The cover of the proof-read copy is printed on a glossy paper instead of the real one and therefore the colors might slightly differ from the final version.

8.

The PhD student sends an OK e-mail to the printers when the proof-read is approved (or with the corrections required).

- Important note: the changes should not include large editorial changes, only the changes related to errors in the printing process.

The e-mail should also contain the shipping address where the printing office will send the printed theses.

9.

The printer office delivers copies of the thesis to the PhD student and to the library.

Time

Between step 1 and 3: 3 working days
Between step 3 and 4: 3 working days
Between step 6 and 7 (proof-read copy) : 1 week
Between step 8 and 9 (all copies) : 2 weeks, or according to the agreement between the PhD student and the printer office

"Spikning"

· A printed "spikblad" must always be included in all doctoral dissertations. The "spikblad" should contain the following:

  • author's name and department
  • dissertation title
  • time and place for the disputation
  • faculty opponent's name, title and university
  • information about supervisor and examining board
  • abstract

Below you will find a "spikblad" example in A4 format (the printer's will change it into B5 format).

Spikblad should be included in the (doctoral dissertation) copies that are sent to the library.

· An electronic "spikblad" must be published at the Blekinge Institute of Technology's web page (Kalendarium), and should contain the same information as the printed one. Send this information to:

the Information section; info@bth.se

with a link to a full text version of the dissertation.

This should be done at least 3 weeks before the disputation!

Some other matters to consider when publishing your thesis:

Library copies

The printers send 25 copies of the published dissertation to the library. 20 of those copies are distributed to other Swedish university libraries. The Library registers the dissertation in Blekinge Institute of Technology's library catalogue as well as the national research library catalogue LIBRIS.

"Pliktexemplar"

7 copies of the thesis will also be added to your order according to the Statutory Deposit of Copies Act (pliktexemplarlagen). These copies will also be included in the bill. The printing office is responsible for sending these copies directly to the university libraries of Lund, Stockholm, Uppsala, Linköping, Umeå, Göteborg, and the National Library of Sweden.

The insert

Please note that every author and department draw up their own structure for the insert: preface, table of contents, font, etc. Therefore there is no template for the insert. The size of the printed dissertation is 176x250 mm. When formatting your Word-document, set the outside measurements by these measures. The text-face is also decided by each department/author.

Convert the insert into a pdf-file and send it to the printing office.

Cover and fly leaves are fixed, see examples below.

Publishing in the electronic research archive

New routine - Library publishes the dissertations in the archive:

When the dissertation has been printed it should also be published electronically in the electronic research archive of Blekinge Institute of Technology. Library staff enters bibliographic information and the full text of the dissertation if it is in accordance with the copyright regulations.

We will contact the author to ask for help choosing the correct subjects and keywords.
