Publish a licentiate or doctoral thesis
Here you will find information on how you as a doctoral student at BTH go about publishing your thesis. From booking print to uploading in DiVA - we guide you step by step through the process.
Series
Licentiate and doctoral dissertations at BTH are published in two separate series administered by the library.

The publishing process

The theses will be printed in format G5. Templates for Word and LaTeX can be downloaded under the section "Templates".

1. Book an appointment with the printer
Book an appointment no later than 6 weeks before the notification date. The date for notification ("spikning") must be at least 3 weeks before the defense/final seminar. On the notification date, the thesis must be available in both printed and digital format in DiVA.
When the printer has received the booking, they will send the date of submission and the name of the contact person to the doctoral student. The printer schedules printing for delivery of the printed theses no later than the notification date.
Book an appointment by sending an e-mail with the following information to anette.pettersson@bth.se:
- Name
- E-mail address
- Date of defense/final seminar
2. Place a purchase order in Visma Proceedo.
Log in to Visma Proceedo via the link from Inside. Click on "Purchase" and type "thesis" in the search box. Fill in the form.
See the heading "Prices" on this page to see the approximate cost of printing your thesis. Remember to include 5 copies for the library in the cost.
You do not need to submit files in Visma Proceedo.
3. Create a record in DiVA
In DiVA, a URN (Uniform Resource Name) number is generated to be printed on the cover pages. See the heading "Publishing in DiVA" on this page.
4. Submit files
Print your PDF file and proofread it before submitting it for printing. Then you can focus on checking, for example, images and special characters in the proof.
Send your proofread file to the printer as instructed (see step 1), with a copy to: anette.pettersson@bth.se.
Please provide the following information:
- Your name
- Your e-mail address
- Your telephone number
- Number of copies (for yourself + 5 copies for the library)
- Address to which the sample book should be sent (e.g. your home address)
- Order number from Visma Proceedo
- Delivery address of finished books, normally to BTH. Write the name of your department, and replace NN with your name (or other person who will receive them):

Keep in mind that:
- Your abstract should fit on the back cover, so try to keep it short. It should not contain more than about 1650 characters.
- Be consistent if you use capital letters to start your title.
ISBNs and serial numbers are issued by the library.
5. Proof copy
The printer prepares a sample copy to be sent to the PhD student.
Check that special characters are correct and that figures appear correctly.
Get back to the printer as soon as possible.
6. Printing and delivery
Once the proof has been approved, the final version is printed and sent to the doctoral student.
Five (5) copies of these should be delivered to the library.
7. Full text of the thesis in DiVA
The printer sends the final file to the library, which uploads it to DiVA.
The full text of the thesis must be available in DiVA no later than three weeks before the public defense/final seminar.
Compilation thesis
Checking copyright for digital publishing
When scientific publishers own the copyright, they generally allow articles to be included in the thesis if it is printed in a limited edition. However, when it comes to the digital version, the same generous rules do not always apply. Therefore, always check carefully which articles are allowed to be included in the digital version of your thesis.
Check your copyright agreement
To comply with the rules, you need to check the copyright agreement you signed when your article was accepted for publication. What is the journal's policy on including the article in the printed thesis? If you cannot find details of publication in the agreement, you may need to contact the journal or publisher. Below we have listed some publishers and the rules that apply to them.
Formal requirements for publication in a thesis
If the publisher allows you to include the article in the thesis, they usually require you to publish a specific copyright notice and often also a DOI link to the article.
Registration in DiVA
Even if you do not have the right to publish an article in full text, you should register an entry in DiVA. You then link this to the thesis record.
Start by adding the articles included in the thesis. Then create a record for the thesis itself and link the articles to it.
Use Sherpa/Romeo in case of uncertainty
In the DiVA records, the full texts of the articles can be included depending on the publisher's open access policy.

Notification (spikblad)
In the new thesis template for doctoral theses, the notification of submission of a doctoral thesis ("spikblad") is included in the book, instead of being printed as a separate loose leaf. The "spikblad" corresponds to pages 1 and 2 of the doctoral thesis template.
Publishing in DiVA
The doctoral student enters bibliographic information about the thesis in DiVA. The final file is added to the mail as soon as the library receives it from the printer, no later than three weeks before the defense/final seminar.
After the record has been published in DiVA, the doctoral student cannot make changes themselves. Contact Anette Pettersson: anette.pettersson@bth.se
Keep the following in mind when entering information about your thesis in DiVA
- Skip fields that you cannot fill in, they can be completed later.
- The library will enter the serial number and ISBN.
A printed and a digital version of the thesis must be available at least three weeks before the public defense. The two versions should be identical as far as possible.
Compilation thesis in DiVA
First check if the papers included are already entered as records in DiVA. If they are missing, create a new record for each paper. Then create a record for the thesis itself. Select publication type doctoral thesis/licentiate thesis, compilation. In the next step, search for and link the theses.
Copyright of sub-works in compilation thesis
If there is a wish to publish the publisher's version of an article in the thesis, it must be reconciled with the publisher's rules for use of the publication. If copyright rules make it impossible to publish the publisher's version, pre-print versions of the article(s) in question should, if possible, be used in both the printed and digital versions of the thesis. If the pre-print version cannot be used either, the author must offer to provide the articles that cannot be published in the digital version via an email request in the thesis record in DiVA. If the digital version of the thesis does not contain all articles due to copyright reasons, the author is responsible for making changes and publishing the file in DiVA.
In general, scientific publishers, if they own the copyright, always allow the inclusion and printing of the parts of a compilation thesis if the thesis is produced in a limited number of copies. But for the digital version, sometimes the same generous rules do not apply. Therefore, authors must always take extra care to check what can be included in the digital version of the thesis.
