Publishing licentiate and doctoral dissertations at BTH

 

Licentiate and doctoral dissertations at Blekinge Institute of Technology are published in two separate series:

Process description

From 2023 we use the print shop Media-Tryck at Lund university. The process will be slightly different and the instructions are under construction.

From autumn 2023 the theses are printed with the new cover and in a new format (G5).
Templates for Word and LaTeX can be downloaded under the section “Templates” below.

1. Book a time with the print shop

3 weeks before the defence, the “spikning” takes place, and on this date the thesis should be available both in print and digital version.

At least 6 weeks before the date of “spikning” you should book a time for printing. This means 9 weeks before the date for your presentation since the thesis should be available in print 3 weeks before.

Book a time by sending an e-mail with the following information to anette.pettersson@bth.se :

  • Your name
  • Your e-mail address
  • Date for your presentation

As soon as the printers receive the booking, they will send a confirming e-mail to the doctoral student containing contact information and the date when the file must be sent to them for printing.

N.B.: complete steps 2 and 3 before submitting the file (step 4). Together with the file, the order number (io from Visma Proceedo) and URN (generated in DiVA) should be sent.

 

2. Make an order in Visma Proceedo.

Log in to Visma Proceedo via the link on Inside. Click on “Inköp” and write “thesis” in the search box. Fill in the form.

See the headline “Prices” on this page to calculate an approximate cost for printing your thesis. Remember to include 5 copies to the library in your cost.

You don’t need to attach any files in Visma Proceedo.

 

3. Create a record in DiVA

DiVA will generate a URN number which will be printed in the thesis.

See instructions.

 

4. Send in your files

Print your pdf file and proof read it before sending the file to the print shop. Then you can focus on checking for example images and special characters in your proof copy.

Send the proof read file to the printers according to their instructions (see step 1), with a copy of the e-mail to: anette.pettersson@bth.se .

Include the following information:

  • Your name
  • E-mail adress
  • Telephone number
  • Number of copies (for yourself + 5 copies to the library).
  • Address where the proof copy should be sent to
  • Order number from Visma Proceedo
  • Address for the delivery of the final copies. Use one of these addresses:

ISBN and serial number are issued by the library.

 

5. Proof copy

The printers prepare a proof copy which will be sent to the doctoral student. Check that special characters and images appear correctly.

Send feedback to the printers as soon as possible.

 

6. Print and delivery  

When the proof copy has been approved the final copies will be printed and sent to the doctoral student.

5 of these copies should be submitted to the BTH library.

 

7. Thesis pdf in DiVA

The printers will send the final version of the thesis to the library staff who will add the file to the DiVA record.

At least three weeks before the presentation the thesis should be available in full text in DiVA.

Comprehensive summary theses

When science publishers own the copyright they generally allow you to include articles in a printed PhD thesis if it is produced in a limited number of copies. But for the digital version, the same generous rules sometimes do not apply. Therefore, you must always be careful to check what can be included or not in the digital version of the dissertation.

In order to comply with the rules you need to check the copyright agreement that you signed when your article was accepted. What is the journal policy for including the article in a thesis? If you cannot find any guiding principles in the contract you might need to contact the journal or the publisher. We have listed a few publisher policies below.

If publishers allow you to include the full text of the article in the thesis they usually also require you to publish a notice including a special copyright phrase and often also a DOI-link to the original paper.

No matter if you have been able to get a permission to publish or not, you need to enter bibliographic records of each of the articles into the BTH DiVA portal and then link these to the thesis. Instructions can be found here.

Always start by entering the bibliographic article records in DiVA and then you create the thesis record and link the articles to it.

In the DiVA records full-text of the articles can be included depending on publisher open access policies. Use the Sherpa/Romeo resource to explore this.

"Spikblad"

Printed “spikblad” (applies only to doctoral dissertations).

In the new template for doctoral theses the “spikblad” is included in the book, instead of being printed as a loose leaf. The “Spikblad”  corresponds to pages 1 and 2 in the template for doctoral theses. 

The instructions below apply if you have not used the new template, and want to print a separate “spikblad”.

A “spikblad” is a notification of submission of a doctoral thesis.

A printed “spikblad” should be included in doctoral dissertations. It should contain the following information:

  • Author’s name and department
  • Dissertation title
  • Time and place for the disputation
  • External reviewer’s name, title and university
  • Information about supervisor and examining board
  • Abstract
  • Keywords
  • The logotype of BTH

Below you will find a “spikblad” example in A5 format, which can be used as a template. The information above should be included, but apart from this, the “spikblad” may be designed according to the phD student’s preferences.

The “spikblad” should be included in all the copies of the doctoral dissertation.

Publishing in DiVA

Create a DiVA record

The PhD-student enters bibliographic information about the dissertation in to DiVA. The final version of the thesis file will be added when the library has received the file from the printers, not later than three weeks before the defence date.

Publish thesis in DIVA

The final version of the dissertation will be published as soon as the library receives it from the printer’s (if it is in accordance with the copyright regulations).

Read this before creating a DiVA thesis record:

Skip fields you cannot yet fill in, they can be completed later. The library will add ISBN and serial number.

At least three weeks before the public defence both a printed and a digital version of the thesis must be published. Both versions should be as identical as possible.

Comprehensive summary thesis

First check if any papers already exists as records in DiVA. If not, create a new entry for each missing paper that is part of your thesis. Then create an entry for the thesis itself. Choose publication type Doctoral thesis/Licentiate thesis, comprehensive summary. In the next step you search for and add the papers.

Copyright for papers included in a comprehensive summary thesis

If there is a wish to use the publisher version of an article in the dissertation, the publishers copyright policy must be applied. If copyright makes it impossible to use the publisher’s version of the article, pre-print versions of the item (s) concerned should be used in both the printed and the digital version of the dissertation. If the pre-print version can’t be used, the author must offer to provide these articles, in the DiVA record of the dissertation, via email request. If the digital version of the dissertation does not contain all the articles due to copyright reasons, the author is responsible for making changes and publishing the file in DiVA.

Choose these buttons in Overleaf to download the zip file as a project:

”New Project” -> ”Upload Project” -> Choose the downloaded zip file.

When the project is opened, choose the XeLaTeX compilator by pressing these buttons:

”Menu” -> ”Compiler” -> XeLaTeX
